Connecting the Dots - Image Courtesy ZoomappyWhen I was young, I really enjoyed the coloring activities that involved connecting the numbered dots to create beautiful pictures. Even when I grew up and could draw by myself, I still enjoyed creating those “connect the dots” activity pages for my younger sister. I enjoyed it even more when she felt proud of creating a mermaid or a yellow and black bumble bee by just connecting the dots.

And now I receive similar satisfaction and enjoyment when our clients fill in their resourcing data and BizMerlin creates insightful reports empowering the users with strong decision making intelligence. For example, users fill in the project details like start and end dates, probability of getting the project, profiles of resources required, billing rates, etc.  In return, the “Resource Forecasting” report shows the users suggested actions in terms of hiring, staff training and user-project allocation.  With BizMerlin’s intuitive user interface, it becomes easier to assign Andrew 40% of his time to one project and 50% of this time to another, and remaining 10% on training.

Now consider another scenario where Dean is assigned 60% to the project “TSF” (Start date – end date 4th March 2011- 17th Nov 2011) and 50% to the project “KLM” (15th June 2011- 15th July 2012) and 60% to the project “JAWS”( 15th March 2012 – 15th March 2013).

It is evident that Andrew was underutilized by 60% from 16th Nov 2010 to 15th July 2011. He was also underutilized by 10% from 15th July 2011 to 15th March 2012 but 60% underutilised from 15th March 2012 onwards.  This is interesting information from a resourcing perspective.

Now let us analyze the second instance.  Dean was underutilized by 40% from 4th March 2011 to 15th June 2011. He was underutilised by 10% from 15th June 2011 to 17th Nov 2011. He is underutilised by 50% from 17th Nov 2011 to 15th March 2012! From 15th March 2012 to 15th July 2012 he is overcommitted by 10% and then again underutilised if he stays just on “JAWS”.

BizMerlin pulls out simplified reports for otherwise complex data that is beyond excel sheets to handle to identify the resources on bench, surplus resources, over committed resources or underutilised resources and by what percentage. The picture is not only complete, but it also goes further to identify and allocate the future recruitment to the current or future projects optimally. Once the resources have been allocated to the project they need to be assigned tasks and then those tasks need to be tracked. Their expenses including project related billable and non-billable time and reimbursable and non-reimbursable expenses, invoices, goals, milestones are tracked in BizMerlin.
